Vacature Event Coordinator bij Xebia
Job description
As an Event Coordinator you'll take the lead in organizing and running exciting, sales-driven events from start to finish in Europe. You'll handle everything from planning and logistics to collaborating with teams across service line marketing, performance marketing and design. It includes managing budgets, selecting suitable locations and partners, coordinating speakers and taking care of all logistical aspects. You will closely work with the various services lines, will also be present at the events to supervise the execution and ensure that everything runs smoothly.
What will you be doing?
Event organisation which includes but is not limited to the management of tradeshow attendance, conferences and partner relation events.
The main responsibilities being:
- Tradeshow attendance: both coordination in terms of the stand build, the graphics, giveaways, build-up/ breakdown and onsite coordination.
- Conference management: venue sourcing, logistics and vendor negotiations (AV, catering, signage, etc.), registration, partner management, speaker management, build-up/ breakdown and onsite coordination.
- Budget responsibility and tracking for all events.
- Relationship-building, negotiating sponsorship agreements, and presenting ideas effectively to both internal and external stakeholders.
- Stakeholder Management in terms of working together with Global Marketing Leads and/ or Regional Marketing Leads for the smooth production of our event attendance.
Your efforts will directly help generate leads, boost conversions and raise Xebia's profile. You'll collaborate with a global team to bring creative event strategies to life locally and work on exciting projects like the Google Cloud Summit BeNeLux or a Github Copilot Hackathon in Antwerp.
You will report to the European Events Lead and you will be part of the Global Marketing team.

Who you are
You have excellent project management skills and are a driven, hands-on Event Coordinator. You are proactive and stress-resistant. What else do you bring?
- At least 3 years of experience in event planning, e.g. within an agency;
- Excellent project management skills;
- Ability to handle projects independently and simultaneously;
- Proven organisational tradeshow and conference experience;
- A creative and problem-solving mindset;
- Driving licence;
- Are able to travel and work evenings and weekends;
- You have an excellent command of the English language. A strong command of Dutch is considered an asset.
